Scope and Purpose
To be responsible, under the direction of the Apartment Manager, for the overall management of site operations and supervision of maintenance of the physical property within budgetary guidelines.

*Position Responsibilities* General Administration: Collect rents and maintain electronic records according to the On-Site Procedures Handbook.
* Assist in general oversight for leasing and rents.
* Assist in review applicant files, process background checks and all necessary new tenant documents.
* Generate 50059 & TIC certification forms.
* Ensure compliance with designated affordable program requirements * Assist in the preparation of REAC inspections * Assist in the preparation of Management & Occupancy Reviews * Follow-up delinquent accounts and pursue collections in accordance with established procedures.
* Maintain tenant files and related documentation regarding continuing eligibility and adjustments.
* Show vacant apartments utilizing professional marketing procedures, and maintain a high level of continued occupancy by leasing property in a timely manner.
* Executing Rental Agreements.
* Prepare reports in accordance with established procedures.
* Completes move-out inspections and process per policies and/or program requirements.
* Address resident concerns in a professional manner.
Document all resident concerns in tenant files.
* Maintain the property business office in a neat, orderly and business-like manner at all times with regularly scheduled office hours per established procedures.
* Log all resident complaints and dispatch maintenance personnel promptly.
Items covered under warranties should be reported to the appropriate maintenance companies and followed up for prompt repairs.
* Generate work orders in response to requests for repairs from residents coordinate completion of repairs, and close out work orders in accordance with established procedures.
* Conduct property inspections, including move-in, housekeeping, and grounds in order to assure adherence to established standards.
* Be available at all times either personally, or through other site personnel, for emergency calls.
* Maintain community-owned materials and tools in a neat and orderly manner at all times.
* Ensure compliance with all Affordable and Tax Credit Programs regulations and/or other federal, state and local requirements applicable to property.
* Strong skills in OneSite, EIV and TRACS software are essential.
* Maintain proper records for all applicable programs to site.
* Must be able to read, write and communicate effectively.
* Mathematical skills are required.
Ability to interact professionally with residents, vendors, contractors and clients.
* Proficiency in using property management software(s) used by the Company, as well as Microsoft Office (Word, Excel and PowerPoint) in order to complete required reports and employment documents.
* Must have basic knowledge of Fair Housing Laws, OSHA Requirements, EEOC Laws, and Local, City and State Ordinances.
* Ensures office is opened on schedule and that office and model apartments are maintained in a clean condition.
* Performs light housekeeping as necessary.
* Physically walks and inspects property as required by city and or affordable program regulations and/or requirement.
* Adhere to policy and procedure changes.
*QUALIFICATIONS* * Knowledge and 1 to 2 years of experience in multi-family property management.
* Working knowledge of LIHTC and Section 8 regulations * COS and TCS Certification (strongly recommended) * Ability to clearly and effectively communicate both verbally and in writing.
* Have a positive attitude and keep a solution-based and customer-focused mindset at all times.
* Proven employment history of property management, sales, marketing and customer service background sufficient to manage the day to day operations.
* Maintain high legal/ethical standards in all work related decisions.
* Take pride in quality of work and attention to detail.
* Must have reliable transportation.
* Professional in-person and phone presence and etiquette.
* Capacity to work with little supervision using effective time management and organizational skills.
* Complete tasks and projects within deadlines.
* Partner with team to resolve issues and highlight opportunities.
* Capable of working in a team environment and maintaining effective and respectful working relationships with fellow employees, suppliers, and vendors.
* May be required to assist in special projects or activities designated by company.
This may include due diligence, property acquisition/disposition, assisting at other properties, serving on or participating in company sponsored or sanctioned committees, organizations, functions, etc.
* Follow the Company’s confidentiality policy and ensure that the operations, activities and business affairs of the Company and clients are kept confidential.
